Capture an issue with enough context

Record the observed defect or unfinished work, its location and the person responsible for the next action. Add photographs and relevant drawing references so the recipient understands the issue. A description such as “door damaged” is less useful than a room reference, the affected element and a clear photograph. Keep observed facts distinct from a proposed cause or remedy.

Assign and follow up

Keep responsibility and the issue’s status visible to the authorised project team. Use a consistent naming convention across floors, areas and trades so the record can be reviewed later. Confirm available reminders and due-date alerts for your chosen plan. Agree who carries out the fix and who is responsible for inspecting it before marking the item complete.

Close against evidence

Attach evidence of the completed work and review the closure in the project workflow. A contractor’s comment that work is finished is useful input, but it should not be confused with the reviewer’s acceptance. Keep the original observation and the closure context together so the team can explain what was identified and what was subsequently checked.

Snagging in the UK; punch lists in the US

Teams use different terms for tracking defects and incomplete work. The underlying record still needs a clear location, description, owner and closure evidence. Adapt the checklist to your contract and inspection process. Buildstance’s project records support that workflow; they do not replace a qualified inspection, contractual notice or professional certification.

The same issue-recording workflow can track defects or incomplete work described as punch list items. Agree your team’s terminology and acceptance process.

Can I work from a phone?

Buildstance has a phone-browser workflow. Confirm saving and file-processing state on site; independent iOS and Android field validation remains pending.

Is there a snagging checklist?

The resource library includes a downloadable synthetic checklist and a worked issue example.
