Construction daily report template with a worked site record

Capture the day while the detail is available. Use this editable site-record CSV to prepare a consistent daily log, then review the information before including it in a client update.

Prepared by Buildstance (ACHV Ltd) · Updated

Prepared from Buildstance’s published workflows and original template design. Examples are synthetic, not customer records or measured outcomes. Sources provide background and do not endorse Buildstance. AI assisted drafting; no independent professional review is claimed.

Set the date, location and observation basis

Create a report ID and record the project, date, work area and author role. If reporting across shifts, agree the reporting boundary and timezone. State whether an entry is a direct observation or a report from a trade partner. Do not fill an unobserved field with a plausible estimate; use “not recorded” and follow up where the omission matters.

Record activity and resources separately

Describe the activity and area before recording workforce, hours or equipment. Headcount is not labour hours, and labour hours are not proof of completed quantity. In the synthetic example, a report of four operatives is labelled as a trade report; no hours or productivity result is inferred. Define your own units and verification process when using the record for quantities or commercial review.

Describe weather and deliveries in context

Record conditions relevant to the work, their observation time and source. “Light rain at 08:00; internal work continued” is more informative than “bad weather”. Record significant deliveries, their references and visible discrepancies. If a delivery or condition is not checked, state that clearly. The CSV is a general log, not a replacement for any separate safety, incident or inspection reporting process.

Link a constraint to its follow-up

State the affected work area and the information or action needed. Use a named role rather than a vague “team to resolve”. Link the photograph, drawing reference and relevant query. Preserve the original observation even if the constraint is later resolved, and record the subsequent response separately so the chronology remains understandable.

Complete the worked example and blank row

The first data row uses synthetic Riverside House references. SR-015 records partition activity on Level 1, a trade-reported headcount and a corridor-door query. The next row is blank for your own entry. Import the CSV in Excel or Google Sheets and duplicate the blank row for each area or trade. Keep the “Data type” label until you replace the example, so test records cannot be mistaken for project evidence.

Review the daily record before using it in a report

Check dates, location, evidence availability and the difference between observed facts and reported information. Ask the reviewer to open a referenced record and identify the next action without extra explanation. A weekly owner update can then summarise relevant changes without publishing every internal note. Keep any correction traceable rather than silently rewriting a previously released account.

Questions about this workflow

Who prepares a daily construction report?

Agree an accountable site role, such as the superintendent, site manager or project manager, and a reviewer appropriate to the project. Identify sources when the preparer relies on another person’s report.

Should a daily report include a completion percentage?

Only if the scope, denominator and measurement basis are defined. A percentage without a basis can obscure what was observed. Activity, evidence and constraints may be more useful than an unsupported estimate.

Can this template be used as the client’s weekly report?

Use daily records as source material. A weekly report needs an agreed reporting period, a summary of changes, outstanding decisions and a reviewed client-facing version.
